Who is responsible [PLACEHOLDER: to confirm]

This website is operated by Cold Email Critic. For any question about your data, write to office@coldemailcritic.com.

Emails you check [PLACEHOLDER: to confirm]

When you press Analyse Email or download the PDF report, the subject line, email body and the options you chose (context, industry, email type) are sent to our server over an encrypted connection so the score can be calculated. The text is processed in memory to produce the result and is then discarded. It is not saved in a database, not written to our application logs, and not used to train anything.

Please avoid pasting personal data that is not needed for the check, such as phone numbers or other people's details.

Contact form [PLACEHOLDER: to confirm]

If you use the contact form, we receive your name, email address, the topic you chose and your message by email. We use them only to answer you, and we keep the correspondence for as long as it is needed to handle your request. [PLACEHOLDER: to confirm]

Cookie choices [PLACEHOLDER: to confirm]

When you make a choice in the cookie banner, your browser stores it, and we keep a record on our server so we can show that consent was given: a random identifier created in your browser, the categories you accepted or refused, the date and time, and a one-way hash of your IP address (the IP address itself is not stored). These records are deleted after 365 days. You can see and delete the records for your browser on the My data page.

Analytics and other third-party services [PLACEHOLDER: to confirm]

Analytics only runs if you allow it in the cookie banner. The services currently switched on are:

  • Google Analytics (GA4) (Analytics category): measuring traffic and how visitors use the site.

If Google Analytics is switched on and you allow it, Google processes data about your visit (pages viewed, device and browser information, approximate location) under its own privacy terms. This may involve transfers outside the European Economic Area. [PLACEHOLDER: to confirm]

Hosting and server logs [PLACEHOLDER: to confirm]

Our hosting provider keeps standard server logs (IP address, date and time, pages requested, browser type) to run and secure the service. These logs do not contain the text of the emails you check or of contact form messages. Retention follows the hosting provider's settings. [PLACEHOLDER: to confirm]

Legal bases [PLACEHOLDER: to confirm]

  • Checking an email you submit: to provide the service you ask for.
  • Contact form: your consent, and answering your request.
  • Cookie consent records: our legal obligation to be able to show consent.
  • Analytics: your consent, which you can withdraw at any time.
  • Server logs: our legitimate interest in keeping the service secure.

Your rights [PLACEHOLDER: to confirm]

You can ask for access to, correction of, or deletion of your personal data, ask us to restrict or stop processing it, and receive a copy of data you gave us. You can withdraw analytics consent at any time with the Cookie settings button at the bottom of every page. You also have the right to complain to a data protection supervisory authority.
